This Privacy Policy explains how NEWS TEAM (PTY) LTD, trading as NewsTeam ("NewsTeam", "we", "us", or "our"), handles personal information in connection with newsteam.io, our publishing software, applications, APIs, integrations, and support services (the "Services"). You can contact us about privacy at hello@newsteam.io.

1. Our role and customer websites

NewsTeam provides software as a service for publishers to create, manage, distribute, and monetize digital content. We determine how information is used to operate our own website, manage business and account relationships, and secure our Services. When we host or process content, reader information, or other personal information on a customer's behalf, we act on that customer's instructions under our agreement with them.

Our customers independently operate their publications and decide what to publish, which reader information to collect, and which advertising, analytics, subscription, and other integrations to enable. Their privacy notices apply to those activities. This policy does not replace a publisher's privacy notice. Contact the relevant publisher about its use of your information; you can also contact us for help identifying the publisher or requesting deletion of information held by NewsTeam.

2. Information we collect and process

  • Account and business information: names, email addresses, organization details, account identifiers, roles, permissions, authentication information, and subscription or billing records supplied when using the Services.
  • Communications: information you send in enquiries, access requests, support messages, feedback, and other correspondence.
  • Customer content and workspace data: articles, images, videos, embedded posts, metadata, editorial activity, and other material customers and their authorized users upload, import, or create.
  • Reader and transaction information: where customers use the relevant features, reader account details, subscription status, access entitlements, and transaction references processed on their behalf. Payment providers process payment details under their own policies.
  • Technical and usage information: IP addresses, browser and device information, request and error logs, pages visited, interactions with the Services, and cookies or similar identifiers used for sessions, preferences, security, and analytics.
  • Integration information: data supplied by services a customer enables, including configuration, credentials or access tokens where needed, and content or metadata returned by those services. The Facebook and Instagram integration is described below.

3. Facebook, Instagram, and Meta Platform Data

NewsTeam uses Meta's APIs to retrieve embed information for Facebook posts, Facebook videos, and Instagram posts that customers choose to include in their content. We send the selected post or video URL and display options to Meta. Depending on the API response, we receive and may store the source URL, embed HTML, author name or profile URL, title or description, thumbnail URL, provider details, and display dimensions. This may include personal information made available with the selected post.

We process this Meta Platform Data to retrieve, store, preview, and display the selected embed in the editor and in customer publications, and to maintain and troubleshoot that functionality. Relevant embed information is available to authorized workspace users and, when the customer publishes it, to readers of that publication. This embed integration does not require readers to create a NewsTeam account or give NewsTeam their Facebook or Instagram password, private messages, or friends list.

Loading an embed can connect a reader's browser directly to Meta, which may receive technical information such as the reader's IP address, browser details, referring page, and cookies. Meta handles information it receives under its own Privacy Policy. Publishers are responsible for any notices and consent required before loading embeds on their websites.

We do not sell Meta Platform Data or use it for advertising profiles. We use and share it only for the disclosed functionality and as permitted by Meta's applicable terms. Everyone whose information is processed through this integration, in any region and whether or not they have a NewsTeam account, may request its correction or deletion by emailing hello@newsteam.io. 4. How and why we use information

  • Provide, administer, and support the Services, including accounts, editorial workflows, hosting, publishing, distribution, reader access, and customer-selected integrations.
  • Respond to enquiries, manage customer relationships and billing, and communicate service or policy changes.
  • Protect accounts and infrastructure, investigate errors and abuse, and maintain service reliability.
  • Understand use of our website and Services and improve their usability and performance.
  • Comply with legal obligations, resolve disputes, and enforce our agreements.

Where data protection law requires a legal basis, we rely on performance of a contract, our legitimate interests in operating and protecting the Services, compliance with legal obligations, or consent where required. Where we rely on consent, you can withdraw it by contacting us; withdrawal does not affect processing that was lawful before withdrawal. Customer-directed processing follows the customer's instructions and applicable data protection agreement.

5. Who receives information

We share information as needed with service providers supporting hosting, storage, content delivery, communications, analytics, payments, security, and support; with the customer's authorized users and administrators; and with integrations selected by the customer. If a customer uses AI features, the inputs needed for that feature may be sent to the relevant AI service provider. Information selected for publication is shared with the intended audience and distribution destinations.

We may disclose information when required by law, to protect legal rights or safety, or in connection with a merger, acquisition, or transfer of the business, subject to applicable safeguards. Meta Platform Data remains subject to Meta's restrictions on use and sharing, including where service providers process it for us.

6. Cookies and analytics

Our Services use cookies or similar storage for functions such as keeping users signed in and remembering preferences. The public NewsTeam website uses Google Analytics to understand visits and interactions. It can collect browser and device information, page and interaction data, and cookie identifiers. See Google's Privacy Policy and Google's Analytics opt-out tool. You can also manage cookies through your browser; blocking necessary cookies may affect service functionality. Customer websites may use their own analytics, advertising, and cookie settings.

7. Retention and deletion

We retain personal information for as long as needed for the purposes described here, taking account of the customer relationship, customer instructions, the type of information, and applicable legal requirements. When information is no longer needed, we delete it or make it no longer identifiable, unless retention is legally required. Backup copies may remain until overwritten through the backup lifecycle and are restricted from ordinary use.

We delete Meta Platform Data as soon as reasonably possible when a valid deletion request is received from the person concerned, the customer, or Meta; when it is no longer needed for the disclosed purpose; when the relevant account or service ends; or when Meta's terms or applicable law otherwise require deletion. If law requires us to retain any of that data, we limit retention to that requirement. We require service providers processing that data for us to carry out applicable deletion instructions as well.

8. Security and international processing

We use technical and organizational measures designed to protect personal information, including controls on access to our Services. No system can guarantee absolute security. Information may be processed in countries where NewsTeam, its customers, or its service providers operate. Where applicable law requires safeguards for an international transfer, we use the safeguards required for that transfer. Any agreed customer data-location commitments are governed by the customer agreement.

9. Your choices and rights

Depending on applicable law, you may have rights to access, correct, delete, or obtain a copy of your personal information, object to or restrict processing, withdraw consent, and complain to the relevant data protection authority. Contact hello@newsteam.io to make a request. We may need proportionate information to verify your identity or authority, and will respond within the period required by applicable law. We may refer requests concerning customer-controlled information to that customer and assist them in responding.

10. Children

NewsTeam's business Services are intended for professional users, not directed at children. If you believe a child has provided personal information to NewsTeam inappropriately, contact us so we can investigate and take appropriate action. Customer publications have their own audiences and are responsible for their own age-related notices and protections.

11. Changes and contact

We may update this policy as our Services or legal obligations change. The date above identifies the latest version. We will provide additional notice of material changes where required. For privacy questions, correction requests, or deletion requests, contact NewsTeam at hello@newsteam.io.
